How do you reduce the file size of a PowerPoint presentation?

If your PowerPoint file is too large, it can be slow to load, difficult to share, or even crash. Here are the best ways to reduce its size without losing quality.

1. Compress Images

High-resolution images can make PowerPoint files huge.

Steps to Compress Images in PowerPoint :
  1. Select any image in your presentation.
  2. Go to the Picture Format tab.
  3. Click Compress Pictures.
  4. Uncheck "Apply only to this picture" (to compress all images).
  5. Choose a lower resolution:
    • E-mail (96 ppi) → Smallest file size
    • Web (150 ppi) → Good balance of size & quality
    • Print (220 ppi) → High quality but smaller than original
  6. Click OK.

* If you have many large images, this can significantly reduce file size!

2. Convert Images to JPEG or PNG
  • Replace TIFF, BMP, or RAW images with JPEG or PNG (smaller file sizes).
  • Use Insert > Pictures instead of copy-pasting images, which increases file size.

* You can also use external tools (like Photoshop or TinyPNG) to compress images before inserting them.

3. Compress Embedded Videos & Audio Files
Steps to Compress Media :
  1. Go to File > Info > Compress Media.
  2. Choose a compression level:
    • Low Quality (Email) – Smallest file size
    • Standard (Web) – Balanced quality
    • Full HD (1080p) – Best for high-quality videos
  3. PowerPoint will reduce the file size while keeping good quality.

* Use YouTube links instead of embedding videos if size is an issue!

4. Remove Unused Slide Masters & Hidden Slides
  • Go to View > Slide Master and delete unused slide layouts.
  • Delete hidden slides that are not needed (Right-click > Delete Slide).

* Unused master slides still take up space!

5. Convert to PPTX Format

Older .PPT files are larger. Convert to .PPTX (which uses better compression).

Steps to Convert :
  1. Open the file in PowerPoint.
  2. Click File > Save As.
  3. Choose PowerPoint Presentation (*.pptx).
  4. Save and check the new file size.

* PPTX files are usually much smaller than PPT files!

6. Remove Unused Embedded Fonts
  1. Go to File > Options > Save.
  2. Under Preserve fidelity when sharing, uncheck "Embed fonts in the file" OR select "Embed only the characters used in the presentation".
  3. Click OK.

* Fonts can make your file significantly larger. Only embed fonts if necessary.

7. Delete Unused Animations & Transitions
  • Too many animations and transitions can increase file size.
  • Go to Transitions and Animations tabs to remove unnecessary effects.

* Simple presentations load faster and take up less space!

8. Save as a PDF (Alternative Option)

If you just need to share the content (not edit it), save the file as a PDF:

  1. Go to File > Export > Create PDF/XPS Document.
  2. Choose Minimum Size for the smallest file.

* Great for sending lightweight versions via email!

Final Tip: Check the File Size Before & After
  • Right-click the PowerPoint file → Click Properties to check file size.
  • Apply the above steps and compare before & after sizes.
